Delivering high-quality services requires not only experienced translators and advanced technical support but also effective project workflows and rigorous quality management systems. After 26 years of practice, our project workflows have continuously improved. Building upon this foundation, we have developed a translation business management system. This system effectively controls and monitors the entire translation and quality process, ensuring each project is delivered to the client on time and with high quality.
Step 1: Project Startup
This stage is mainly about understanding customer project requirements, determining project scope and corresponding project quotation. This includes understanding the documents that need to be translated, language information, delivery time, reference materials, language assets (glossary and translation database), delivery format requirements, project scope and other project information. After fully understanding the client's project scope, the project manager will evaluate the project tasks, processes, workload, project execution plan, and schedule, and submit and confirm the quotation and delivery time to the client.
Step 2: Project Preparation
The project manager identifies the project team members, prepares the project toolkit, glossary, reference materials, project hardware and software environment (including tool settings), and provides the required training to project members when necessary. At this stage, the project manager must also fully foresee potential problems and propose feasible solutions, collaborate with relevant departments to determine resources and schedules, and communicate with customers to determine support and cooperation matters as well as project milestones.
Step 3: Translation Process (TEP Process)
TEP refers to Translation, Proofreading and Editing. The translation is done by translators who are native speakers of the target language, live in the target market country and have relevant experience. During this process, project members regularly submit issue reports and discuss them at regular project meetings to solve the problems and share information. When necessary, they submit issue reports to customers to obtain their technical support. Proofreaders check the translation against the full original text, correct and record errors in accuracy, grammar, spelling and translation style, and prepare translation quality (LQA) reports with the help of automatic tools to objectively evaluate the translation quality. The reviewer does not read the original text, but simulates the end user to check the entire text.
Step 4: Desktop Publishing or Localization Engineering Process
If the project requires desktop typesetting or localization engineering (help file compilation, software GUI interface adjustment, engineering testing) of the translated documents, complete the corresponding tasks. Step 5: Quality Assurance (QA)
The quality control (QA) process randomly selects 10% of the translated/proofread/reviewed files for quality assessment. Evaluate translation quality based on project requirements and our internal quality standards.
Step 6: End of Project
The project members and the QA manager hold a project summary meeting and conduct a final review of the project based on the task checklist to ensure that all customer requirements can be met and all tasks meet quality standards. The project manager delivers the final documents to the client through the specified method.
Step 7: Customer Feedback
Analyze and respond to customer suggestions item by item based on customer feedback, modify translation and layout, and improve engineering tasks based on consensus reached by both parties.
Step 8: Project Summary
The project manager and QA manager conduct internal evaluations of project quality and the performance of project members. The project manager maintains the translation memory and glossary, backs up all related files, and prepares for the next version update. Process accounts receivable and payable simultaneously.
